B2B eCommerce World: Attendee User Agreement
This Attendee User Agreement (“Agreement”) is entered into by and between:
Organizer: B2BEA LLC & B2B eCommerce World LLC (or its affiliated entity) — “Organizer”
Attendee: the individual or business entity registering to attend the Event — “Attendee”
Effective Date: the date the Attendee confirms registration / accepts this Agreement.
1. Definitions
- Event — the in-person or hybrid conference, workshop, networking session, or gathering organized by B2BEA LLC & B2B eCommerce World.
- Registration — the process by which the Attendee completes all required forms and payment (if any) and accepts this Agreement.
- Venue — the physical location(s) of the Event.
- Organizer Materials — any content, documentation, presentations, recordings, or other materials provided by the Organizer.
- Attendee Data — any personal or business information submitted during registration or participation in the Event.
2. Scope & Purpose
This Agreement establishes the rights, responsibilities, and obligations of both Organizer and Attendee regarding attendance, participation, and conduct at the Event.
3. Attendee Obligations & Conduct
Attendee agrees to:
- Provide accurate registration information.
- Follow all Event guidelines, instructions, and venue rules.
- Conduct themselves professionally and respectfully toward all participants.
- Not reproduce, distribute, or publicly share Organizer Materials without written permission.
- Comply with intellectual property rights and applicable privacy laws.
- Follow all health, safety, and security measures in place at the Venue.
4. Organizer Rights & Responsibilities
Organizer agrees to:
- Deliver the Event as reasonably described at registration.
- Provide access to Event sessions, programs, and materials for registered attendees.
- Handle Attendee Data in accordance with applicable data protection laws.
- Notify Attendees promptly of any material changes to schedule, venue, or programming.
- Manage Event logistics with reasonable care and professionalism.
- Provide refunds or alternatives in accordance with the posted refund policy.
- Organizer reserves the right to modify content, agenda, speakers, or format as required.
5. Payment, Fees, Cancellation & Refunds
- Attendee shall pay all applicable fees at registration.
- Refunds (if any) follow the policy presented at the time of purchase.
- Organizer may cancel or postpone the Event; Attendees will be offered a refund, credit, or alternate date per policy.
- Refunds are not provided for speaker changes, agenda adjustments, or minor modifications.
6. Risk, Liability & Indemnity
- Attendee participates at their own risk, acknowledging the potential for injury, illness, property damage, or other unforeseen events.
- To the fullest extent permitted by law, Organizer’s liability is limited to the amount paid by the Attendee for registration.
- Attendee indemnifies and holds harmless the Organizer, Venue, staff, speakers, sponsors, and contractors from claims arising out of their attendance.
- Attendees are encouraged to obtain appropriate personal or business insurance.
7. Intellectual Property
- Organizer retains ownership of all Organizer Materials.
- Attendee is granted a personal, non-transferable, limited license for reference use only.
- No recording, copying, distribution, or public sharing of Organizer Materials is permitted without written approval.
- Organizer may capture photos, video, and audio during the Event and may use such media for marketing, archival, or promotional purposes. Attendance constitutes consent unless an Attendee opts out in writing.
8. Data Privacy
- Organizer may collect Attendee Data for administration, Event communication, access control, and future marketing activities.
- Attendee consents to receive Event-related communications unless opting out.
- Attendee Data will be handled in accordance with applicable privacy and data-protection laws.
9. Modification, Cancellation & Force Majeure
- Organizer may modify agenda, speakers, timing, or venue due to unforeseen circumstances, force majeure, or operational needs.
- If the Event is cancelled, postponed, or substantially modified, Organizer will notify Attendees and provide options allowed under policy.
- Organizer is not responsible for losses beyond the stated refund or credit.
10. Termination & Removal
- This Agreement terminates upon completion of the Event or fulfillment of all obligations.
- Organizer may deny entry or remove an Attendee for violating this Agreement, engaging in disruptive behavior, or creating safety concerns.
- Termination does not release the Attendee from prior obligations (e.g., payment, indemnity, confidentiality).
11. Lead Scanning & Data Sharing With Exhibitors/Sponsors
- Lead-scanning devices or applications may be used by exhibitors, sponsors, and partners for networking and follow-up purposes.
- Attendees are not required to have their badge scanned; declining is allowed.
- If scanned, the following details may be shared with the exhibitor or sponsor:
- Full Name
- Company Name
- Job Title / Position
- Email Address
- Phone Number
- Data will be used to contact Attendees regarding business opportunities or professional follow-up.
- Organizer does not control how exhibitors or sponsors use collected information.
- Withdrawal of consent must be requested directly with the exhibitor or sponsor.
12. Photography & Videography
- Photography, videography, and other media production will occur throughout the Event.
- By registering, Attendees consent to B2B eCommerce World and its subsidiaries using their image, likeness, voice, or participation for promotional, educational, archival, or marketing purposes.
- To opt out, Attendees must notify the Organizer in writing prior to the Event. Reasonable efforts will be made to accommodate opt-out requests.
13. Registration Cancellation & Name Changes
- Name Changes: Accepted up to 7 days prior to the Event; substitutions must be submitted in writing.
- Refund Policy:
- 100% refund: 60 days or more prior to the Event
- 75% refund: 30–59 days prior to the Event
- No refund: 29 days or less prior to the Event
- Submission: All requests must be submitted in writing to the Organizer. Refunds, if applicable, will be processed via the original payment method.
14. Governing Law & Dispute Resolution
- Governed by the laws of [insert jurisdiction].
- Disputes first addressed through mutual discussion; unresolved disputes may go to court of competent jurisdiction.
- Invalid provisions do not affect the remainder of the Agreement.
15. Entire Agreement & Amendments
- Constitutes the entire understanding between Organizer and Attendee.
- Modifications must be in writing.
- Notices will be sent to the contact information provided during registration.
16. Acceptance
By completing registration and/or attending the Event, the Attendee acknowledges that they have read, understood, and agree to all terms of this Agreement.
